Room Parent and Grade Level Chair Roles & Responsibilities
1. Attend Room Parent and Grade Level Chair Committee Meeting on Monday, August 29th at 3:15p in the Cafeteria.
At the Room Parent meeting:
- You will be asked to select the Head Room Parent. There are typically 3 room parents per class. The Head Room Parent will be responsible for distributing information to the classroom families throughout the year .
- You will receive the contact information for all of the families in your classroom (names and phone numbers) It is suggested that whomever you select to handle your class room correspondence develop a group email contact list, for easy communication distribution throughout the year. We do not have email address information - you will need to get that on your own.
NOTE: We ask that you not give class lists to your classroom parents, as the district is legally obligated to keep family contact information private. You might have parents asking you to do this. Also, when distributing information via email to your class room families, you should send the email to yourself and blind copy (bcc) the rest of the families to protect the privacy of their email, unless you obtain permission from your classroom families’ to do otherwise. All families willing to provide their contact information have done so through the Romona Directory that comes out sometime in October. Anyone who has joined the PTA will receive one.
- You will be asked to contact your classroom teacher after the meeting, before curriculum night, to secure the following information:
- What are the dates and times of your classroom celebrations…. i.e. Holiday, Halloween, and Valentine's Day, and any others and the expectations/guidelines for running them, and anything else specific to your teacher’s needs. NOTE: Your classroom teacher will be handling parent volunteers for Centers, General Classroom help, and and other classroom need they may have. Room Parents will be primarily responsible for soliciting volunteers for parties and field trips, making sure that all parents have equal opportunity during the year.
- Ask your teacher to please leave 5 minutes of time on Curriculum Night for you to speak.
2. Organize any forms for Curriculum Night (PTA Membership, Grocery Dollars, & Rockin' Romona invite) and plan to announce the following on Curriculum Night:
- Introduce yourself and the two other Room Parents and encourage families to contact you should they need anything or have any questions
- Give a general overview of how volunteer opportunities will be handled throughout the year, based on your discussion with your teacher
- Let parents know that Party Volunteers will be solicited, via email, one month prior to the scheduled party and that should there be more volunteers offering help than needed, names will be picked via lottery or spots will be given to those that have not had the chance to participate in a classroom activity previously.
- Encourage PTA participation from all your Families
- Distribute PTA Membership Form at Curriculum Night and inform them that there are four General PTA meetings this year. All are encouraged and welcome to attend. Check the website for dates.
- Let the parents know that with PTA membership they not only will have a vote, but will receive the Romona School Student Directory that lists contact information for the families in their class and school. Also, let parents know that the Romona Directory can be a useful tool for getting a hold of people, planning playdates, etc.
- Highlight what the PTA provides for our school ... funding for all field trips, enrichment activities assemblies, community events, (i.e. Family Game Night), and other incredible community events that enhance our classrooms, curriculum and our community.
- Emphasize that any participation is appreciated. If someone has time, encourage joining a committee. If time is an issue, simply becoming a member of the PTA by paying the dues is just as helpful. Encourage attendance at our family fun-filled events throughout the year. Highlight our Grocery Dollars program.
3. Attendance at the monthly PTA meetings is both encouraged an appreciated.
- While we would love all 3 Room Parents to attend the monthly General PTA meetings, we realize that is not always possible, and appreciate all that you do already! We simply ask that 1 of the 3 room parents in your class plan to attend the General Meetings in the cafeteria. (There are only four this year!)
4. Send communication as necessary through email, to keep your classroom families informed, connected, and engaged.
- From time to time, the Room Parent Chair will ask you to forward important PTA information (i.e. General PTA meeting reminder, special events on the horizon, re-cap of information relayed at the General PTA meeting, and so on). Please copy and paste it into a personalized message to your families. Feel free to use that opportunity to add class-specific news.
